Overview
A single system on the client's own server covers the whole life of a HANGAR event: the public website where afternoon parties and concerts are announced, each attendee's registration with a digital ticket, the QR email, the panel from which the organiser manages events and attendees, and the door screen with which staff validate every ticket in real time. All in Catalan, with personal data handled under GDPR with online payment and email campaigns with sales attribution built into the same system.
Context
The client
HANGAR runs open-air afternoon parties and concerts at the Pla de Bages aerodrome (Barcelona): experiential leisure, live music and community. It needed to sell the experience online, know who is coming and control entry on the day without paper lists or third-party platforms.
The challenge
A crowded event has one critical point: the door. Anyone had to be able to register from their phone in a minute and hold a valid ticket instantly, even if the email took a while; door staff had to validate hundreds of tickets with their own phones, without training and without letting the same QR through twice; and the organiser had to see at all times who registered, who came in and which emails were delivered. With ID numbers and phone numbers involved, everything had to comply with GDPR from the first form.
The solution
How we solved it
- 01
Brand website and event page
A landing with HANGAR's identity: custom typefaces, a 3D plane crossing the screen as you scroll, gallery, FAQ and upcoming and past events. Each event has its own page with practical information and the registration form. All in Catalan.
- 02
Registration and an instant digital ticket
A form with name, email, phone, ID number and postcode, plus GDPR and image-rights consents. On submit, the person sees their ticket on screen immediately: a pass with QR, an HGR-XXXX-XXXX code and a printable version. Email and ID number are unique per event, with protection against simultaneous duplicate sign-ups.
- 03
Ticket email with a queue and retries
Every ticket is emailed with the QR embedded, so it shows without the mail client loading remote images. An internal queue retries up to five times with increasing delays, and the organiser sees in the panel which emails went out, which failed and why, and can resend them with one click.
- 04
Door mode
On the door staff's phone the camera stays on: continuous scanning with no buttons, a green, amber or red answer with vibration, the holder's name and ID number to check against the document, and one tap to continue. Each ticket's state lives on the server: if two staff scan the same QR, the second sees "already used" with the time of the first entry.
- 05
Organiser's panel
Events (create, edit, open or close, flyer), attendees with search and filters (all, entered, pending), manual check-in and undo, CSV export and a privacy policy editable from the panel itself. Designed to be used from a phone on the day.
- 06
Security and uneventful operations
Separate domains for public and staff, secure sessions, per-IP rate limits, security headers, images re-encoded on upload and a start-up that refuses to run in production with default secrets. All in a Docker container with health checks, on the client's own server.
- 07
Online payment and campaigns with sales attribution
On the same registration flow, unique ticket identity and recorded consents, the system includes online payment per event (ticket issued only after payment is confirmed, refunds from the panel) and email campaigns with sales attribution: the origin of every sign-up, segmentation by event and attendance, and tracked links to know which channel fills each event.
What changed
Results
Instant ticket: nobody waits for an email to hold their ticket; the pass URL is permanent and shareable.
No queue, no lists at the door: validation in under a second with a phone, no manual input, with name and ID number on screen.
Zero double entries: each ticket's state lives on the server, not on the phone; several door staff at once with no conflicts.
Emails that arrive: a queue with retries and a deliverability panel; nothing is lost silently.
Clean, exportable data: one attendee per email and ID number, and a CSV ready for the next campaign.
Compliance from the form: consents recorded with a timestamp, an editable privacy policy and personal data handled with limits and escaping in every view.
